Kajabi has introduced a useful new feature for teams: Custom User Permissions.
Previously, when adding team members to a Kajabi account, you had to choose from predefined roles such as Administrator, Assistant, Support Specialist, or Payments Assistant.
The problem was that these roles did not always match how teams actually work.
Now, Kajabi lets you customize permissions for individual account users.
What Changed?

Previously, permissions were largely determined by the role assigned to a user.
For example, you might want someone to manage your courses and email campaigns, but not give them access to payments, billing, or API credentials.
The predefined roles could make this difficult.
With Custom User Permissions, you can now start with an existing role and then enable or disable individual permissions for that specific user.
In other words:

What Permissions Can You Customize?

Kajabi organizes permissions into several areas of the platform.
You can control access to features related to:
- Products
- Marketing
- Website
- Pricing and sales
- Contacts
- Settings
- Other tools
For example, under Marketing, you can separately control access to Email Campaigns, Automations, Funnels, Events, and Forms. Under Pricing & Sales, permissions include areas such as Affiliates, Offers & Coupons, Payouts, Payments, and payment settings.
This means permissions can be much more closely matched to someone’s actual responsibilities.
A Practical Example
Imagine you hire someone to help manage your Kajabi content.
You might want them to:
- Edit courses
- Create landing pages
- Manage email campaigns
- Work with forms
But you don’t want them to:
- Access billing
- View API credentials
- Manage payouts
- Change sensitive payment settings
Previously, you had to find the predefined Kajabi role that came closest to this combination.
Now, you can configure the user’s permissions individually.
This should be particularly useful for businesses working with virtual assistants, contractors, agencies, customer support staff, and larger internal teams.
Custom Permissions Are Set Per User
One important point is that Kajabi has not simply added a new reusable “Custom” role.
You still choose an existing role as the starting point. Once you modify one of its permissions, Kajabi displays the user’s role as something like Custom (Administrator).
The underlying role remains the baseline, while the custom settings apply specifically to that individual user.
You also cannot currently save a custom permission configuration and reuse it as a template for multiple users. Each user’s permissions must be configured individually.
There Is One Important Limitation
Custom permissions can affect your Kajabi plan’s extra-user allowance.
According to Kajabi, customizing an Assistant, Support Specialist, or Payments Assistant can cause that user to count as an extra user. Co-owners and Administrators already count toward this limit, so customizing their permissions does not add another one.
This is worth checking before customizing permissions for a large number of team members.
The feature is also currently listed as Beta and can be enabled through Kajabi Labs.
Why This Update Matters
This may look like a relatively small account-management update, but it solves an important problem for Kajabi users working with teams.
As a Kajabi business grows, giving someone either too much access or too little access becomes increasingly inconvenient.
Custom User Permissions make it possible to follow a much simpler principle:
Give each person access to what they need — and nothing they don’t.
For solo creators, this feature may not make much difference.
But for businesses working with multiple staff members, contractors, virtual assistants, or agencies, it makes Kajabi significantly easier and safer to manage.
